How CAQA Online accounts are created, secured, suspended and closed.

1. About these terms

These Account Access Terms explain how accounts on CAQA Online, the portal and digital-campus service of CAQA Groups operated by Career Calling International Pty Ltd (ABN 53 162 651 238), are created, secured, suspended and closed. CAQA Online provides online portals, account access and digital environments for learners, trainers, providers and support teams. Because most accounts exist inside a portal environment we host for an education provider, these terms operate alongside that provider's own enrolment, employment and conduct policies and our Portal Terms.

2. How accounts are created

Accounts are not self-registered through this website. They are provisioned in one of two ways: by our implementation team when a new digital campus is being established, or by the provider's authorised administrators as learners enrol, staff join or parent and employer views are switched on. The provider decides who receives an account, what role it carries and when it is removed. This website itself offers no public login; the only forms on it are the contact and newsletter forms.

3. Identity and eligibility

Accounts are personal. They are issued to a named individual in a defined role, such as learner, trainer, assessor, staff member, administrator, parent or employer contact, and must not be transferred or shared. You must give accurate identity details when your account is set up and keep them current, because assessment records, messages and progress data are attached to the person named on the account.

4. Roles and permissions

Access is role based. A learner sees their own courses, submissions, results and messages; a trainer sees the learners and marking queues assigned to them; staff see the administrative functions of their position; parents and employers see only the dashboards a provider has chosen to share. If your account shows records you should not be able to see, stop, take no copies, and report it to your administrator or to us immediately.

5. Your security responsibilities

Keep your password confidential, choose one that is not used on other services, enable multi-factor authentication where offered, and sign out on shared or public devices. You are responsible for activity performed under your credentials until you report that they have been lost or compromised. Report suspected compromise without delay so the account can be secured. If you use a shared classroom, library or workplace computer, treat it as untrusted: never allow the browser to save your portal password, close the browser entirely when you finish, and never leave an assessment or student record open on screen while you step away.

6. Suspension and withdrawal of access

Access may be suspended or withdrawn by the provider, for example when enrolment ends, employment ceases or a conduct process requires it, or by us where an account threatens platform security, breaches the Acceptable Use Policy or shows signs of compromise. Where practicable we act through the provider's administrators; in urgent security situations we may act first and notify afterwards.

7. Account closure and your data

When you leave a provider, your account is typically deactivated rather than instantly erased, because education providers must retain certain enrolment and assessment records to meet their regulatory obligations. Questions about what happens to your records after closure should be directed to your provider, whose retention rules govern their environment; our hosting-side handling is described in the Data and Security Notice. Parents and employer contacts lose access when the provider ends the sharing arrangement, and administrators should review dormant accounts each term as part of routine housekeeping.

8. Fees and payments

Accounts are not sold through this website and no payments are taken on it. Any charges relating to portal services are matters between CAQA Online and the provider under a written agreement, which also records any cancellation position for that engagement.
